Invoicing and Billing Policy
Invoicing frequency
In general, Cantor Access Incorporated issues invoices by email at the end of each month for services performed during that month, plus travel costs, actual expenses, and applicable taxes.
Fees
Assessment is billed by the hour, with a three-hour minimum, plus travel if applicable. A typical assessment session lasts between 90 minutes and two hours. The total time is usually four to six hours, and includes the assessment, research into products and services, and the preparation of a written report.
Assistive technology training is billed as a flat fee, plus travel if applicable. Each session lasts about two hours. The flat fee includes lesson summaries emailed to the employee, free email and telephone support after each training session, and a progress report emailed to the employer after the final session. Basic software configuration and customizations are included as part of a flat fee training session.
Professional development training, in general, is billed as a flat fee plus travel if applicable.
Other services such as software configuration, scripting, fabrication, and workstation adjustments are billed by the hour, with a three-hour minimum, plus travel if applicable.
Travel costs
I waive travel costs for assignments that involve round-trips of one hour or less.
For assignments that involve a round-trip of more than one hour, I bill actual travel time at 50% of our customary hourly fee.
When I drive, I include a per-kilometre charge similar to the Government of Canada allowance. The current "prescribed reasonable per-kilometre rate" is $0.73.
Actual expenses
When preparing invoices, I itemize the actual expenses incurred while providing services.
Actual expenses include transportation, parking, shipping, and equipment purchased on behalf of a client. Overnight accommodations and meals may be charged for out-of-town assignments.
Before commencing an assignment, I provide an estimate of actual expenses that will be incurred while providing services.
Minimum billable time
I do not charge for initial consultations of less than 30 minutes.
During an assignment, I do not charge for brief (less than five minutes) telephone and email consultations. Otherwise, the minimum time charge is 15 minutes.
The minimum time charge for assignments that involve out-of-town overnight stays is eight hours per day.
Discounts
I offer discounts to individuals or small organizations that cannot afford my regular rates.
Terms and late fees
Payment is due within 30 days after invoicing. A late payment charge of 1.5% monthly is applied to unpaid accounts 30 days after the bill date.
Payment methods
Accepted payment methods:
- E-transfers.
- International wire transfers.
- Cheques (or money orders) sent via snail mail.
- PayPal. (4.5% added to the total amount owing to cover PayPal fees.)
I do not accept payment by credit cards.
Changes to this policy
